# Second October release: ask your policies a question, courses people finish, and policy categories

Originally published: October 2026

A week after the policy portal, two things that go beyond confirming a document. Policy Intelligence lets anyone ask a question and get the answer from your own policies, with the source. Learning adds short interactive courses that people complete and confirm together with the policies. Both are paid add-ons, and Policy Intelligence is free to try. Policy categories, for every plan, round it off.

Confirming a policy proves someone saw it. It does not make them remember what it says in March, or tell them what to do with a USB stick they found by the printer. This release is about the part after the confirmation: the question people ask later, and the habit the policy was written to build.

## Policy Intelligence: ask your own policies

Ask a question the way you would ask a colleague, for example what the travel policy says about booking flights, and get the answer from your own policy documents. Every answer names the policy, the version and the page it came from, and one click opens the policy. No one has to read a policy from the top to find one rule, and the people who used to answer the same questions, in compliance, HR and IT, get their time back.

The answer, with the policy, version and pages it came from.

- **Only what you choose.** An administrator picks the policies it may read, and it reads their current version only. Unchoosing a policy removes its text again.
- **For administrators and, if you want, recipients.** Administrators ask on the Policy Intelligence page. Turn on the switch and the people you send policies to can ask in the policy portal, each seeing only the policies that apply to them.
- **In your region, nothing shared.** The model runs on Google Cloud in your account's region, EU or US. Your policies are never used to train models, and recipient data is never sent.
- **Off until an owner turns it on** , on the Policy Intelligence page, after reading how the documents are processed.
- **Free to try** with up to 2 policies and 20 questions, on every plan. For more, it is an add-on priced by your plan size, from $99 a month, with 150 pages of policy text and 150, 500 or 2,000 questions a month depending on the plan. More pages or questions can be added.

## Learning: courses people finish, not slides they skip

Learning adds short interactive courses that are sent with the policies and confirmed with them. Four come ready to send, written for every employee rather than for specialists: everyday information security (about 8 minutes), data privacy in practice, safe use of AI at work, and ethics and professional conduct (about 5 minutes each). More are on the way.

Spot the risks, from the information security course. Three of four found.

- **Interactive, not slides and a quiz.** Find the risks in a picture of an office, examine a simulated email, choose in a scenario and see what follows, sort, order and match. A wrong answer explains why and lets the person try again.
- **Sent with the policies.** Publish a course and tie it to groups. Then Include learning appears when you create a cycle or a recurring rule, off by default, and each recipient gets the courses tied to their groups.
- **Part of the confirmation.** People go through their courses on the confirmation page, under the policies, and tick each one off before they confirm. The emails, the cycle page and the proofs are unchanged.
- **A record of every completion.** Completions lists who finished which course and when, and Download PDF gives you the record.
- **An add-on.** Previewing the courses is free on every plan. Publishing them, and so sending them out, is the Learning add-on, priced by your plan size from $29 a month, all courses included.

## Policy categories

Sort your policies into categories you name, for example HR, IT security and Finance, and work with one category at a time. Turn it on in the three-dot menu on the Policies page.

- **On the Policies page** , filter by category or group the list under a heading per category. The policy page gets a Category field, the bulk upload takes a Category column, and the export gets one.
- **When you create a cycle** , the policies are listed by category, and one click ticks every policy in a category.
- **For recipients too** , if you choose: the policy portal and the confirmation page show the same headings, so a long list reads as a few short ones.

The confirmation page with categories on. The same headings as on the Policies page.

## A changed document asks for a new confirmation

A confirmation stands for a document. If you add a new document under a version people have already confirmed, those confirmations in open cycles go back to pending, the people get a reminder, and their earlier confirmation is kept on the record. Cycles that are already closed are left as they were: their confirmations stand for the document they were made for. The policy page asks before you replace a document anyone has confirmed.

## A lighter menu

The menu on the left has a quieter design: a white panel, your organization in its own row, and Policy Intelligence and Learning in the list once they are on your subscription. Until then they sit under Available add-ons, where you can try the one and preview the other.

## Why this release

A policy that is confirmed and then forgotten protects nobody. Policy Intelligence makes the policy the place people get their answer, in the moment they need it, rather than the colleague who happens to know. Learning turns the policy into something people have practised, not only read. Both ride along with what Policy Confirm already does: send, follow up, record. There is no second system to run.

## Frequently asked questions

### Is Policy Intelligence on by default?

No. It is off until an owner turns it on, on the Policy Intelligence page, after reading how the documents are processed. Only the policies an administrator chooses are read, and only their current version.

### Can recipients ask questions too?

Yes, when you turn that on. With the add-on on your subscription, the people you send policies to can ask in the policy portal, and each person sees only the policies that apply to them. The free trial is for administrators only.

### Where does Policy Intelligence run, and is anything shared?

The model runs on Google Cloud in your account's region, EU or US. Your policies are never used to train models, and recipient data is never sent.

### Does a course change the emails, the cycle page or the proofs?

No. The courses appear on the confirmation page, under the policies, and the person ticks them off before confirming. The emails, reminders, the cycle page and the proofs are the same as without courses.

### Can I write my own courses?

Not in this version. The four courses are ready to send, and more are coming. Your own courses, built from the same activities, come later.

### What do the add-ons cost?

Both are priced by your plan size and billed with it. Learning is $29, $59 or $99 a month for the 75, 250 and 1000 recipient plans. Policy Intelligence is $99, $149 or $199 a month, with 150 pages of policy text and 150, 500 or 2,000 questions a month, and is free to try with 20 questions. See [pricing](https://policyconfirm.com/#pricing) .
